2022-23 Process

 

Consideration Lists

Use your Collection Development Plan and current TitleWise AnalysisSelection Policies & GuidelinesCollection Development Tools, Reviews, Book Lists & Awards, and Diversity Resources on this wiki as you build your Consideration Lists

 

In TitleWave:

  • From Destiny > Catalog tab > Titlewave on left sidebar > LibraryMaterials -OR- 
    Log In to www.titlewave.com with your TitleWave username and password. 

  • Pull down the Saved Lists menu on right to Start a New List.

  • Name your lists, e.g. Voucher 2022 (for fall voucher) and CD 2023 (for your LMP collection maintenance funded order).

    • When you receive your Allotment Letter, add your DNE and the PO# to the List Notes for future reference! 

  • Over-order by at least 20% in case items go out of stock. (Do not over-order eBooks.)

  • Mark your most-wanted print and eBooks 1st Choice. Only select 50% or less of your order as First Choice. 

    • 1st Choice eBooks will fill first
    • 1st Choice print books will fill second (money will be held for all 1st Choice print books)
    • Remaining eBooks will fill third
    • Remaining print books will fill last 
  • Add a Note to specific book selections that LMP staff auditing your list might question (e.g. if you are replacing worn copies you already own, you found favorable reviews outside of TitleWave/reviewed the book yourself, etc.).

In Bound to Stay Bound: 

  • Log into https://www.btsb.com/login/index.php with your BTSB username and password.

  • If you choose to spend part of your allotment with Bound to Stay Bound, be sure to divide your total allotment accurately to designate DNE (Do Not Exceed) amounts in TitleWave and BTSB that equal your total

    • If you need assistance from a vendor customer service representative, contact:

  • Over-order by at least 20%.  Avoid selecting items listed as back-ordered or in bindery. 

  • Add a Comment to specific book selections that LMP staff auditing your list might question (e.g. if you are replacing worn copies you already own, you found favorable reviews outside of BTSB/in TitleWave/reviewed the book yourself, etc.).

Annual Audits

  • School libraries will be selected at random to have their CD2021 lists audited by LMP staff prior to ordering. Those LMS will be notified to hold their orders pending the Audit, and may be asked to revise their lists.

  • All new LMS will have their CD2021 orders audited.  

  • Please Add a Note to selections in TitleWave that you think we might question, as shown in the screenshot above. 

   

Submitting an Order

  • PAYMENT & BILLING Address:

    • Orders using funds from Library Media Programs: Use the PO# (Purchase Order #) provided by Library Media Programs and the billing address for BCPS Library Media, 105 W. Chesapeake Ave. Towson, MD 21204.  Add this address to the online order form if it is not included as a choice.

    • Orders using your own school funds:  You must use a school procurement card, school-generated PO #, or school check as payment method and select or input your own school address as the Billing Address.

  • Use PO# (Purchase Order #) provided on funding allotment letter for your order with annual collection development funds from LMP.

  • SHIPPING Address:  Always use your school address regardless of funding source.
  • Follow these directions to Submit an Order in Titlewave.  
 

Book Shipments

  • Follett Orders may come in two shipments:  1st shipment immediately available titles, second shipment will hold to try to fill out of stock selections, especially those marked 1st Choice.

  • BTSB Orders may come in two shipments: 1st shipment immediately available titles, second shipment will hold for up to 60 days to try to fill out of stock selections up to DNE. After 60 days, if out of stock items still not available order will be closed. Important to over order by 15%!

  • CHECK the books in the boxes against the packing slip to ensure that all books listed were received:

    • Open the first box and remove the invoice for the order.
    • Check the contents of all boxes against the provided invoice.
    • Contact Donna Gruzs (dgruzs@bcps.org)  if there are any errors. Donna is engaged in daily conversations with both companies and is the best support to correct or fix any issues.
      • Titles listed on the invoice that are not in the boxes.
      • Titles in boxes that are not listed on the invoice.
      • Titles shipped that you did not order.
      • Missing boxes.
      • Wrong invoice.
      • Any additional issues or concerns. 
  • Donna Gruzs will import the MARC records in alignment with the expected delivery date. Check 2-3 titles from the shipment in Destiny to confirm the MARC records are imported before shelving the books/offering them to students. Contact Donna Gruzs, dgruzs@bcps.org, if the MARC records are not imported. 

  • Books from Follett will include an ownership label on the title page of each book. Books from Bound to Stay Bound will not include an ownership label; you can print your own labels or use a school library stamp on the title page: Name of School Library, Baltimore County Public Schools (or whatever is on your school library stamper).
